AUCKLAND ACADEMY OF DANCE
TERMS & CONDITIONS
MAY 2023

 

Enrolment

A.1  Enrolment is for the period of one year of four terms. If a student wishes to withdraw before the year is complete Auckland Academy of Dance must be notified in writing, with the date of withdrawal being no earlier than the date of notification.

 

Fees Policies & Procedures

1.1  Term Fees are payable in full by the first day of each term unless prior payment arrangements have been made. A Late Fee of $25 may be charged.

1.2  Term Fees are based on an average of nine weeks per term, with a minimum number of eight weeks, to take into consideration statutory holidays. There is no extra charge for a ten-week term.

1.3  Term Fees left unpaid at the end of each term may be put in the hands of a debt collector and you will be liable for any additional costs associated with collection and recovery.

Refund Policies & Procedures

2.1   Refunds are not given for students who have enrolled but do not attend class. Refunds may be available for students who are absent from class due to illness, injury or personal circumstances provided that students are absent for more than 3 consecutive weeks and the office has been informed at the time. Refunds are not given for students who are absent for holidays.

2.2 Partial term fees will be calculated on the basis of a $25 admin fee being charged, and the classes not attended deducted pro rata on the basis of the minimum eight-week guarantee. Students who have left the school and wish to return will need to re-enrol, and Auckland Academy of Dance reserves the right not to accept them.

2.3In cases of illness or injury, or class cancellation one make-up class per term can be arranged. All make up classes must be within the same term and only in classes where positions are available and subject to teacher approval.

Class Uniform Policy

3.1   All students must be appropriately dressed for class with the correct dance footwear.  No primary or secondary school uniforms are to be worn and no excess jewellery is to be worn in class.

3.2   All students, except adults, must purchase and wear the correct Auckland Academy of Dance regulation uniform for their grade and/or genre within the first term of starting classes.  Hair should be neatly groomed and secured off the dancer’s face.

3.3   Any student inappropriately dressed or groomed will not be able to participate in class activities for health and safety reasons.

3.4   All students should bring a water bottle to each class. For health and hygiene reasons the kitchen cannot provide glasses for general use.

 

Notifications​​

4.1 Notices will be sent to the school via the Auckland Academy of Dance website: www.aucklandacademyofdance.co.nz, the Auckland Academy of Dance Facebook page, and by direct email through the school database. Please ensure we have your most up-to-date email address, and a backup email address should there be any difficulties.

 

Health, Safety, Injury & Medical Conditions Policies & Procedures

5.1   Auckland Academy of Dance is not liable for any personal injury sustained or any loss or damage of personal property whilst on the premises.

5.2   Auckland Academy of Dance will aim to provide a safe learning environment to reduce the risk of injury. It should be recognised by all students, parents/guardians that dance by its very nature carries a risk of injury or accident.

5.3   Auckland Academy of Dance provides qualified and/or experienced dance teachers, who actively promote safe dance practice. This being the case it should be realised that injuries do occur from time to time and students must accept this element of risk.

5.4   It is the student, parent/caregiver's responsibility to notify the teacher before the class starts of any prior injury, medical condition, or treatment which may affect a student’s participation in class.

5.5   A first aid kit is available to any student through their teacher or at reception. Auckland Academy of Dance does not provide anyone with Panadol, ibuprofen, or the equivalent, or administer any medication without prior written consent from a parent/caregiver.

5.6   If an injury occurs at the school Auckland Academy of Dance has a register of Notifiable Events so that records can be made of any injuries should ACC or other government agencies require information in the future.

5.7   Auckland Academy of Dance students are under supervision whilst in class time only, While we endeavor to provide a safe environment, staff cannot be responsible for students outside of their allocated class time

5.8  Covid – Auckland Academy of Dance adheres to current government guidelines and regulations regarding safe practices, involving masks, hygiene, social distancing, and general safety restrictions. Auckland Academy of Dance will require eligible students and caregivers who enter the building to be fully vaccinated or exempted, in line with government regulations. Auckland Academy of Dance staff are all fully vaccinated.

 

Class Attendance Policy

6.1   Students must be punctual to classes to ensure that they receive a complete warm-up. Regular class attendance is essential for students to develop, and keep abreast of their syllabus work.

6.2   Please advise the office if a student is not able to attend class. Messages can be left on the office answer phone or by texting Nancy on 021 243 4705.

Examinations, Presentations and Tests

7.1   All syllabi for Ballet, Contemporary, Jazz, Hip Hop, and Tap are taught with the intention of students working towards sitting an examination during the course of the year. Students will be entered into examinations at the discretion of the teacher in consultation with students and parents/caregivers.

7.2   Examination fees and Exam Rehearsals are in addition to term fees. Exam fees are only refundable according to the relevant Syllabus Body’s Terms and Conditions. AAD Exam rehearsal fees are refundable less a $25 Admin fee.

Concert & Costume Policies & Procedures.

8.1   It is not compulsory for a student to be involved in the annual concert performances, however, it is strongly encouraged.

Students participating in the concert are required to attend extra rehearsals, dress rehearsals, and all performances.

8.2 Parents and caregivers are permitted backstage and in the changing room area if they are an allocated helper for that performance. Non-helpers are not permitted backstage. All children are supervised during concert rehearsals and performances.

8.3  Each dancer must complete a Concert Consent form signed by a parent/caregiver in order to participate in the Concert. Consent fees are non-refundable.

8.4   Costs of costumes for the concert can be anywhere from $75-$150+ per costume and remain the property of the dancer. From time to time, costumes are hired and must be returned to the studio.

Costume deposits are non-refundable.

8.5   Any student with unpaid Term Fees at the time of the concert will not be eligible to participate.

Photography & Videoing of Students

9.1   Photograph or videoing of students in class and at concerts is not permitted. This is to ensure the safety and wellbeing of each individual and to comply with the Privacy Act 1993 regulations.

9.2   Parents/caregivers may film their own child in class during Watching Week which is usually the last week of each month and will be advised.

Choreography

10.1 Choreography for classes, performances, and competition remains the artistic and intellectual property of Auckland Academy of Dance and /or the syllabus providers. Choreography must not be copied or used without the prior permission of the Auckland Academy of Dance.

10.2 Students who leave the Academy are not permitted to perform choreography that was developed specifically for them or as part of a team/group/crew by Auckland Academy of Dance teachers without prior permission.

Privacy Act

11.1 The Auckland Academy of Dance enrolment form collects personal information about the student. Under the privacy Act 1993 you are entitled to have access to and request correction of this information at any time.  All personal information is held in the office at Auckland Academy of Dance, Unit L 44 Portage Road, New Lynn, Auckland, New Zealand.

Contact Information

12.1 It is the responsibility of parents to advise Auckland Academy of Dance promptly of any changes in address, telephone and email addresses.

 

Teams and Private Lessons

13.1 Students who wish to take part in Teams must complete and return the Teams Contract form at the beginning of the year.

13.2 Private lessons are by arrangement with the teacher and must be registered at reception and pre-paid.

13.3  Private Lessons missed without reasonable notice in advance will not be refunded.

Dismissal

14.1 Auckland Academy of Dance maintains the right to dismiss any student who breaches any of the stated terms and conditions, damages property or causes severe disruption in any classes. This decision is made at the discretion of the Studio Director.

Covid Special Conditions

15.1 Should there be any change in the Covid Protection Framework or Covid Alert Levels classes may have to transfer on a temporary basis to the Zoom platform. There are no discounts available for Zoom classes. If students are unable to take classes on Zoom then make-up classes or credits will be offered.

15.2 Students who are not able to attend Zoom classes must notify the school immediately via email to office@aucklandacademyofdance.co.nz.
